Terms of Service

These terms set the rules for using ReviewFlow responsibly and fairly.

1. About these terms

These Terms of Service govern access to and use of ReviewFlow, a customer feedback, service-recovery and reputation-management platform operated by Kayus Systems, a Nigerian registered business (CAC BN 9759219). By creating an account or using ReviewFlow, you agree to these terms on behalf of yourself and, where applicable, the business you represent.

2. Who may use ReviewFlow

ReviewFlow is intended for legitimate businesses and authorised representatives who are able to enter into binding agreements. You must provide accurate account information and keep your login credentials secure.

You are responsible for activity carried out through your business workspace by people who are authorised to use it.

3. Customer information and lawful messaging

You may add and contact only genuine customers for whom your business has an appropriate lawful basis to process contact information and send the relevant message. You are responsible for complying with applicable privacy, direct-marketing, consumer-protection and messaging rules.

You must respect opt-outs and must not use ReviewFlow to send spam, deceptive messages, unlawful promotions or messages unrelated to a legitimate customer relationship.

4. Review integrity

ReviewFlow is designed to support honest customer feedback and fair access to legitimate public-review destinations. You must not use ReviewFlow to suppress, gate, manipulate or selectively solicit public reviews based on whether feedback is positive or negative.

You must not fabricate customers or reviews, offer prohibited incentives for positive reviews, impersonate customers, or use the service to mislead review platforms or the public.

5. Service-recovery records

Recovery notes and related fields should contain only information needed to follow up on the customer's service experience. Do not place medical records, diagnoses, payment-card data, passwords or other unnecessary sensitive information in ReviewFlow.

6. Third-party services

ReviewFlow relies on third-party services for functions such as hosting, databases, WhatsApp messaging, email delivery, public-review destinations and application monitoring. Your use of those functions may also be subject to the relevant provider's terms, policies and technical availability. Kayus Systems does not control third-party platforms.

7. Pilot access, plans and billing

ReviewFlow may provide controlled pilot, trial or other limited access with usage limits or eligibility rules. Pilot access may be modified or ended where reasonably necessary for testing, safety, compliance or service operation.

If paid plans are introduced or activated for your workspace, the applicable price, billing cycle, taxes, included usage and renewal terms will be presented before you are charged. These Terms do not by themselves create a charge.

8. Acceptable use

You must not:

  • use ReviewFlow for unlawful, fraudulent, abusive or deceptive activity;
  • attempt to gain unauthorised access to another business workspace or system;
  • interfere with service security, availability or technical safeguards;
  • upload malware or use automated activity that materially disrupts the service;
  • use ReviewFlow to harass customers or continue messaging customers who have opted out;
  • misrepresent ReviewFlow metrics as proof that a public review was posted when ReviewFlow only records a link click.

9. Your content and business data

You retain responsibility for the business and customer information you submit to ReviewFlow. You grant Kayus Systems the limited permission needed to host, process, transmit and display that information in order to provide, secure and support the service.

You confirm that you have the rights and lawful basis necessary to provide information to ReviewFlow and instruct us to process it for the requested service functions.

10. ReviewFlow intellectual property

ReviewFlow software, branding, documentation, workflows and other service materials are owned by Kayus Systems or its licensors, except for third-party materials that remain subject to their own licences. These Terms give you a limited right to use ReviewFlow for your business; they do not transfer ownership of the service or its underlying technology.

11. Suspension and termination

We may restrict or suspend access where reasonably necessary to protect customers, other users, service integrity, third-party platform compliance or legal obligations, including where there is suspected abuse, security risk, non-payment after paid billing is activated, or a material breach of these Terms. Where practical, we will provide notice and an opportunity to address the issue.

12. Service availability and changes

We work to keep ReviewFlow reliable, but no online service is guaranteed to be uninterrupted or error-free. Features may change as the product is improved, particularly during controlled pilot use. We will avoid materially reducing core paid functionality without reasonable notice where notice is practical.

13. Disclaimers

ReviewFlow is a software service. It does not provide legal, regulatory, medical or professional advice, does not guarantee customer responses, recovery outcomes, review-platform rankings or public-review publication, and does not control decisions made by WhatsApp, Google or other third-party platforms.

14. Liability

To the extent permitted by applicable law, Kayus Systems is not liable for indirect, incidental, special or consequential losses arising from use of ReviewFlow, third-party platform outages, or data supplied by a business. Nothing in these Terms excludes liability that cannot lawfully be excluded or limited.

15. Privacy

Our handling of personal data is described in the ReviewFlow Privacy Policy. Businesses remain responsible for their own privacy notices and lawful handling of customer information.

16. Governing law and disputes

These Terms are governed by the laws of the Federal Republic of Nigeria. The parties should first try in good faith to resolve a dispute through direct communication. Rights to approach a competent court, regulator or other lawful dispute-resolution body remain subject to applicable law.

17. Changes to these terms

We may update these Terms as ReviewFlow develops or legal and operational requirements change. Material updates will be published on this page with a revised effective date. Continued use after an update takes effect is subject to applicable law and the updated Terms.
